Billing and seats
How plans, seats, and your invoice track your team.
Your subscription follows your team: each billable member takes a seat, and the seat count follows your roster as it changes. This page covers what the plans include, how seats track membership, and when a change actually shows up on your invoice.
Plans at a glance
BadgeOut has two plans, both billed monthly per user:
| Plan | Price | Built for |
|---|---|---|
| Starter | $8 per user/month | Small teams tracking time and staying audit-ready. |
| Plus | $8 per user/month + $99/month platform fee | Growing teams that need reporting, workflow, and integrations. |
Every new organization starts on a 30-day Plus trial, no card required. To compare or switch, open Settings, then select Plans under Core Organization. Each plan column ends in Current plan, Upgrade, or Downgrade.
How seats track your team
Open Settings, then Billing, and find the Seats card under Usage. It counts your billable members (active plus pending invitations) against the seats you're paying for.
Membership changes sync seats on their own: inviting a member takes a seat immediately, and removing or disabling one frees it. What syncing never does is bill you mid-cycle. The new count is simply reflected at your next renewal, so a burst of onboarding invites lands as one clean line on the next invoice instead of a stack of prorated adjustments. When you have more seats than members, the card notes the unused seats and the renewal date they run until.
When you're charged right away
Changes you make deliberately in billing settings do prorate, and you see the numbers before anything is charged:
- On the Seats card, select Manage seats.
- Adjust the seat count. You can't go below your current billable members.
- Review the summary: the new Total at renewal, plus any Adjustment due today (or Credit applied when you're reducing).
- Select Confirm.
Plan changes work the same way: the previewed amount is what you're charged. During your trial, nothing is charged until the trial ends.
Where to manage billing
Everything else lives on the Billing page:
- Current plan shows your plan and next billing date, with a Change plan link.
- Billing details holds your billing address and payment method.
- History lists past invoices.
- Cancel subscription schedules the cancellation for the end of the current billing period; you keep access until then.
